Improving the Digital Agenda Assembly

We’ve just had an exciting Digital Agenda Assembly, with great participation online and offline (http://ec.europa.eu/information_society/digital-agenda/daa/index_en.htm) and now it will be very useful to receive your feedback on how to improve this kind of event in future, make it more relevant and engaging. This forum aims at gathering comments and suggestions on the Digital Assembly, as a complement to feedback collected through individual assessment forms.

In particular your feedback is sought on:

- EVENT PREPARATION (programme, online interaction, registrations, other): feedback on DAA 2011 and recommendations for the future

- EVENT ITSELF (plenary and workshop sessions, networking and side activities, other): feedback on DAA 2011 and recommendations for the future

- FOLLOW-UP to the event (exploitation of shared information, elaboration of proposals and commitments made, link to future policy work around the digital agenda for Europe, other): recommendations for the future

How can we improve the Digital Agenda Assembly?

  1. Networking/ Contacts exchange and database between participants

    Create an opportunity for all of the interested participants to exchange contacts: social media tool/'networking booth or else, which will be further distributed to all who wants to reach people from his/her field of work. This will give the possibility for the participants to find like-minded partners for future projects and exchange ideas.

    • Improve food selection, specially for people with special dietary requirements

      There was no food available for people with special dietary requirements, despite asking for it in advance. I know what I'm talking about because I was diagnosed with celiac disease and can only eat gluten-free food. On the first lunch some gluten-free and vegetarian food was apparently available but was not enough (I couldn't eat anything). Then for dinner and lunch on day 2 was not available at all. I asked the two catering managers and they confirmed it was not cooked by the chef. I complaint. Please, avoid this issue next time.

      • Identify participants more clearly: Entrepreneur, Policy-Maker or Lobbyist.

        The one thing I really enjoyed at DAA was the interaction with other entrepreneurs facing similar problems in the digital single market, and the input we developed from there for policy-makers. What I did not enjoy was being part of a session which was clearly full of corporate lobbyists seeking to protect their existing business. It would help to clearly identify delegates for example by different colours for example for the lanyards.

        • More power sockets at the venue

          For an event with so many digital people there were very few power sockets available. There was a huddle of us at the back of the plenary using the few sockets there, but late-comers were disappointed and it was so far back it was difficult to follow the proceedings. With my 2 hour laptop battery life I came to share the Belgian Minister's iPad2 envy ......

          The 'Internet areas' outside the conference rooms also had insufficient power sockets

          • Add an open source workshop

            It does make littel sense to discuss the European market future in the digital field without considering open source. In fact many players on the floor mentioned it but there was no dedicated workshop. It looks like a real bias on behalf of the Commission to exclude open source. That may be acceptable in the Brussels space ship but not for Europeans, even at the United Nations IGF they discussed open source.

            • Mentoring of ICT startups

              Utilize the combination of experience and entrepreneurship present, to have entrepreneur-camps during the assembly; using the experienced participants as mentors for the potential start-ups. Thus, we would get both more business started as well as more interaction and learning shared.

              • Have actual rooms

                Choose a venue that has actual rooms available for the workshops, instead of (very small) areas separated from each other by curtains (!) resulting in interference from other workshops and people in the back not hearing the speakers, because the sound couldn't be too loud.

                  • Have a pre-assembly 'unconference'

                    Unconferences are open to anyone, have the agenda set on the day by the participants, have no budget, are usually held on the weekend, and therefore attract people who want to get things done/fix problems rather than because it's their job. I've had fantastic experiences with them in the UK

                      This was a platform for established players. The sharing of experience and outcomes was useful and welcome. However, there were also some valuable insights provided by new organisations and movements which did not get a thorough airing in the plenary sessions. For example, the call by Italy for instruments to support smaller, community based activity in the realm of digital inclusion; coordinated at a regional level but implemented locally. This was dismissed as not practical but seemed to offer advantages of relevant outcomes and engagement with the participation agenda.                           Brussels is a safe place. We do not need that much security and for the evening reception it would have been better to remove security staff. I had to leave early because a colleague was waiting outside and he was not permitted to join us.

                            Open the floor of the workshops to contributions and evidence from academia and civil society, based on thorough peer review, well in advance of the event. This may improve transparency, participation and quality. This in addition to invited experts and policy-makers, as is the case now.

                                The venue was spectacular and provided an appropriate backdrop to the event. However, it was uncomfortably hot, especially for an event that went on for a number of hours each day. some of the workshop rooms were very uncomfortable and didn't facilitate the kind of discussion that was needed.
